The real Express Entry document checklist — 60-day eAPR

IRCC's portal shows a checklist, but it doesn't tell you which items derail applications and which are formalities. This is the same list, ordered by risk and lead time — the reds are what to start on Day 1.

The 14-document list, in gather order

DocumentRiskNote
Employment reference letter (per job)HighDuty paragraph must mirror the NOC lead statement. This is the #1 refusal source.
Proof of funds (6 months of statements + bank letter)High6-month history, not a single-day snapshot. Below-threshold on any day = refusal.
IMM 5669 Schedule A (background declaration)HighEmployment history must match reference letter dates. Gaps trigger PFLs.
Police certificates (every country lived 6+ months since 18)HighLongest lead time. India PCC, US FBI, UK ACRO — start on Day 1.
Upfront medical exam (panel physician)MediumOptional but saves 4-6 weeks. 12-month validity clock starts on exam date.
Language test results (IELTS General / CELPIP / TEF / TCF)LowMust be under 2 years old at ITA date.
Educational Credential Assessment (ECA) reportLowUnder 5 years old, from a designated organization.
Passport bio page (principal + dependants)Low6+ months validity remaining preferred.
Digital photo (IRCC-spec)LowHead size, background, and file size all spec-tested by the portal.
IMM 5406 (additional family information)LowEvery family member, whether accompanying or not.
Marriage / common-law / divorce certificatesMediumCommon-law needs 12+ months proof — shared address, joint accounts, bills.
Birth certificates for dependent childrenLowTranslated + certified if not in English/French.
Provincial nomination letter (PNP applicants only)Low600 CRS bonus points — upload immediately or the invitation lapses.
Payment ($1,365 for principal + $825 spouse + $260/child)LowCredit card at portal submit. Non-refundable if refused.

What IRCC actually checks

What surprises most applicants: IRCC officers compare your reference letter duty lines word-by-word against the official NOC duty list. Generic phrases like “managed projects” or “supported the team” fail this check every time.

The one document that decides most applications

Every high-risk row on this list is procedural — the wrong bank date, a missing PCC country, a Schedule A gap. Fixable. The one that isn't procedural is the reference letter, because the fix requires your employer to rewrite it before your 60-day clock runs out. That's why we tell every applicant: verify the NOC first, then request the letter. In that order.

Reference letter is the #1 refusal source. Verify before you request.

IRCC's $1,365 fee is non-refundable. A $9.99 duty check catches the NOC mismatch before you submit.

FAQ

What documents do I need for the Express Entry eAPR?
At minimum: passport bio page, digital photo, proof of funds (6 months of statements + bank letter), reference letters for every work experience claimed, IMM 5669 Schedule A, IMM 5406 relationship info, police certificates from every country lived in 6+ months since age 18, upfront medical results, language test results, and educational credentials with ECA. Some applicants also need marriage certificates, birth certificates for kids, common-law declarations, and provincial nomination letters.
Which document causes the most refusals?
The employment reference letter. Officers reclassify claimed NOCs when the duty paragraph doesn't mirror the official NOC lead statement — and that reclassification usually drops CRS below the round's cutoff or breaks category-draw eligibility outright.
Do I need police certificates from countries I only visited?
No. The rule is 6+ consecutive months in a country since age 18. Short trips, vacations, and business travel don't count.
Can I submit without the upfront medical?
Yes. IRCC will request it after AOR, but that adds 4-6 weeks to your processing timeline. Doing it upfront is usually worth the time saved unless you're close to the 12-month medical validity limit.
